Establishment of an external Maori Advisory Group

The Māori Advisory Group made up of members from across the region, and representing different sectors: local government, health, education, Halberg Disability Sports Foundation and Māori Sports Trusts.

Through advice and support from group members, Sport BOP is progressing with development of a Sport BOP Strategy for Māori. Our staff and board recognise the importance of collaborating with and learning from Māori to ensure we are meeting the needs, supporting and empowering our Māori communities to participate in sport and recreation.

The focus on this strategy will be on both internal capability and providing relevant support to the sector to enhance external capabilities.

Development of a Sport Bay of Plenty Workforce Plan.

This plan outlines the recommended focus areas to ensure Sport BOP can maintain a skilled and experienced workforce and continue to meet the needs of our sector well into the future. An action plan has been developed and we will work through these focus areas over the coming months.

Who is Sport Bay of Plenty?

In March 2017, all Sport Bay of Plenty staff completed a demographics survey, capturing gender, age group, ethnic group, contract status, work hours, years employed, highest qualification, team, position and home location.

SUMMARY

  • Staff numbers have increased to 47 in 2017.
  • Gender remains largely women at 79% and less men at 21% (80:20).
  • Age varies from 20-65, with less staff aged over 50.
  • 70% identify as NZ Euro, 45% as Maori, and 13% as other.
  • We have a 50% split of permanent and fixed-term staff.
  • Around 2/3 work full-time (>35 hours) and 1/3 part-time.
  • 40% have been employed for less than three years, and 60% more than three years.
  • Our staff are highly qualified, with almost 70% having a degree or Post Grad qualification.
  • 43% are in the sport team, 36% in the community team, and 21% CEO/Operations.
  • 27 staff live in Tauranga, eight in Rotorua, seven in Whakatane and five in rural areas.

Communication at Sport Bay of Plenty

This year with the development of the Vision 2030, and the Strategic Plan, there were many opportunities to communicate with our stakeholders and communities all around the Bay of Plenty.

For us, communication is two way – first we listen, then we summarize and provide feedback. Our Vision 2030 document was developed after broad consultation and is a Vision that reflects the direction of the Sport and Recreation sectors. The Bay of Plenty is a healthy, active and happy community - the ultimate.

After the consultation that provided us with direction, we developed our own Strategic Plan 17-21. This is our guiding document to ensure we are on track. It has a flow on effect within the business and each team compiles their own goals and actions for the year.

With 2017 being an election year we also connected with the standing MPs, and provided them with some insight into sport, health and recreation - a reminder of how our vital our sector is to the well-being of our communities.

Late in 2016 we launched a new website that provides a wealth of information, including a comprehensive online directory of clubs and activities across the region called the Get Involved Activity Directory.

Each week we send out the ActiveMail, which consists of ActiveVoice – a hot topic written by one of our staff, SportsTalk – an article from one of the CEO’s of the regional sporting trusts. These articles provide insight into the sport, recreation and health sectors, and allows us as an organisation to talk about current topics and relevant information. Also we publish results, up and coming events and workshops, and other stories we know will be of interest.

Our social media channels continue to be a strength in our communication portfolio, utilising the full benefits of boosting, events and groups. Through Facebook we are able to target our messaging with excellent engagement from the different communities. Sport Bay of Plenty has three main FB pages – Sport Bay of Plenty, Play in the Bay, Virtually on Track, as well as our Sport Bay of Plenty Instagram account which is a visual smorgasbord of activity around the Bay. #SportBOP

Operation Optimus Prime (OOP)

Over the past 12 months, staff have been working towards an office transformation in the Tauranga Sports House.

The Sports House concept is to create an environment where sporting codes and Sport Bay of Plenty staff can work together across the sporting divide and encourages communication and collaboration.

Several years ago, there was a discussion about extending the building to accommodate our growing needs, but after further thinking and research it was decided to review the way we worked, and Operation Optimus Prime (OOP) was launched. Our aspirations for the new environment were: Inspiring, Whanau, Fun and Energizing, Collaboration and Connection.

During OOP, all things were considered… occupancy rates, working styles, staff numbers, equipment storage needs, meeting space, social space, our reception and how we greet our visitors and technology.

The outcome has been a significant transformation – from dark, crowded and tight on space to an airy, multi-purpose, fun environment.
